Job Title: Executive Assistant

Location: Washington DC (Onsite)

Employment Type: Contract (1+ Years)

Job Summary:

Mindseeker is looking for a highly organized and proactive Executive Assistant to support senior leadership in for a prestigious government institution. The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple priorities with discretion and efficiency. This role requires expertise in scheduling and calendar management, creating high-quality presentations, and serving as a key point of contact for executive communications.

Key Responsibilities:

  • Manage and maintain complex executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Act as a liaison between executives and internal/external stakeholders, demonstrating excellent verbal and written communication at all levels.
  • Prepare, edit, and format professional presentations, reports, and other documentation using tools such as PowerPoint, Word, and Excel.
  • Coordinate logistics for meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle confidential information with a high degree of professionalism and discretion.
  • Anticipate executive needs and proactively address operational and administrative issues.
  • Support project management tasks and assist in ensuring deadlines are met.
  • Organize and maintain files, records, and office systems for efficiency and ease of access.

Qualifications:

  • Proven experience as an Executive Assistant, Administrative Assistant, or in a similar support role.
  • Excellent written and verbal communication skills.
  • Strong proficiency in Microsoft Office Suite, especially PowerPoint, Outlook, and Excel.
  • Demonstrated ability to manage a professional calendar with attention to detail and changing priorities.
  • Ability to create polished and engaging presentations tailored to diverse audiences.
  • Exceptional organizational and time management skills.
  • High level of discretion and integrity in handling sensitive information.
  • Self-motivated, with a proactive and collaborative mindset.

Preferred Qualifications:

  • Experience supporting C-suite executives or senior-level government officials.
  • Familiarity with virtual meeting platforms (e.g., Zoom, Teams).
  • Bachelor's degree or equivalent professional experience.
